Please note: You are encouraged to submit your vendor application and make your hotel reservation as well. This past TBRU™ our Vendor Market was filled to capacity and we expect the same this year. We can accommodate a maximum of approximately 60 vendors in the market.


Vendor Market Application
This is an "Application to Vend" pending approval by the Texas Bear Round-Up™ vendor team. Special emphasis is placed on goods and wares that cater to the bear community but just as our community is diverse, we strive to have a diverse representation of products. Applications will be reviewed by the team to ensure a minimal amount of product overlap and approval will be communicated promptly.

Vendor Costs
Standard Booth - $200.00 (10 feet deep by 10 feet wide)
Large Booth - $300.00  (10 feet deep by 20 feet wide)

Vendor spaces will be marked off. Tables and chairs will be provided in an open-concept space. We will not have pipes and drapes to divide the booths. You can arrange your space to suit your needs bring signs, banners, merchandising racks, portable walls, etc. We welcome your creativity within your designated space. Please be sure to not block traffic, alter the design of the market, or create a fire hazard. The layout will be approved by the Dallas Fire Marshall and there are restrictions in making changes. Please work with your vendor market coordinators who will be on-site for assistance.

Your vendor booth fees come with 2 event registrations/badges which must be listed in this application. The vendor badge allows you to participate in the basic events of TBRU™. (Add-on events require additional purchases). 

If you need more than 2 individuals to run your booth  - we offer additional solutions:

Vending Booth ONLY Helpers - $15/per person (max. 4)
This badge allows Vendor Market Access only. This is good for those helping you at your booth who will not be attending any of the TBRU™ events. You will be emailed a digital form a week or so before TBRU to order the "vending-only helpers" name tags and pay the fee at that time.

Vending Booth Helpers - Already Registered for TBRU™ - $ no charge
If your helpers are already registered attendees for the event they do not need additional credentials/badges to work at your booth. At your direction, we will provide them with a "vendor helper" sticker on the back of their badge to be able to access the market before opening hours.

Vending Booth Helpers - Attending TBRU™ Events - If you have helpers (beyond the two included with your booth registration) that will be attending TBRU™ Events - they must register as a TBRU™ attendee. Please have them go to the link on the TBRU™ website to register as an attendee. At your direction, we will provide them with a "vendor helper" sticker on the back of their badge to be able to access the market before opening hours.

Vendor Badges

  • Each vendor will be provided with two (2) complimentary Vendor ID badges.
  • Vendor ID badges also provide you access to the basic TBRU™ events.
  • Vendor badges are solely for the use of you.
  • All vendor badge names must match the badge holder's government-issued photo ID.  
  • Lost or misplaced badges are subject to a replacement fee. No more than one badge will be replaced over the course of the event.  
  • Vendor ID Badges allow you access to TBRU™ events and venues which do not require the purchase of a separate event ticket.
  • If you need more than two individuals to run your booth please see the information above on your options. 


If you are confident of the two names that will be the primary workers at your both you may list them below.  If you are not confident of who it will be please leave it blank at this time.

A week or two BEFORE the event the Vendor Team will send you an email to update your two primary workers' information. Also, you will be able to list any additional helpers as well.

We know business needs change and it is better to collect this information closer to the event.

    WiFi/Internet access is available in the vendor market area for a fee charged by the hotel's vendor. The fee represents the actual cost to TBRU™. It provides one log-in credential.

    Purchase your WiFi access now to avoid a higher on-site fee which is paid directly to the hotel's vendor.
    (purchasing on-site is more expensive).

    The preferred cellular provider of the hotel is AT&T with amplified cellular signals in the vendor market/hotel area. (T-Mobile has low reception in the vendor area and in the hotel)

    Press the Add key to purchase the number of wi-fi log-in credentials you will require. Connections only allow one device to connect at any time. Access is granted for your entire time at the TBRU™ vendor market.

    This year we are adding a VIP Fast Pass which includes expedited entry to the club, a VIP-only room with a fully staffed bar and separate restrooms, and one fast pass line for the bar in the Rose Room and another in the upstairs lounge. If you would like these additional perks, you should order soon. There is a limited supply of VIP Fast Pass tickets, and we expect them to sell out.

Texas Bear Round-Up Vendor Market Terms & Conditions

Terms

  • Vendors are solely responsible for their product, monies, and vendor space (including using your own cords and power strips). 
  • WiFi/Internet access is available in the vendor market area for a fee charged by the hotel's vendor. Phone lines are not available. 
  • The preferred cellular provider of the hotel is AT&T and their cellular signal is amplified in the vendor market area. (T-Mobile cellular signal is low in this area).
  • Each vendor agrees to have at least one person monitoring their booth at all times during Market hours 
  • All vendors and your team members must be at least 21 years of age. TBRU attendee or vendor badges will not be issued to anyone under the age of 21. The Vendor Market is open to non-attendees who are at least 18 years or older.  
  • Texas Bear Round-Up, Dallas Texas Bears, Inc.,TBRU, TBRU Staff, TBRU Volunteers and/or Members of the Dallas Bears will not be responsible for your vendor area when it is unattended by you or your staff.
  • TBRU/Dallas Bears reserves the right to approve or decline any application/registration for the vendor market.
  • It is the goal of TBRU to offer a wide variety of goods and products at TBRU and thus may limit the number of vendors with like goods and services.
  • Vendor booth spaces will be assigned by the vendor team.
  • Vendor set-up is Wednesday afternoon/evening 3:00pm - 10:00pm and Thursday morning 8:00am - 11:00am. All spaces must be set-up and ready for business no later than 11:30am on Thursday, March 13, 2025. 
  • Vendor space will be forfeited if vendor does not check-in by 10:00am on Thursday March 13, 2025. Once a space is forfeited, the space will be awarded to a stand-by vendor or distributed to other vendors in the room needing extra space. Exceptions will be considered if vendor contacts the Texas Bear Round-Up Vendor Market Team before the event begins to report extenuating circumstances for your late arrival.  If you are selected to participate in the Vendor Market, and fail to show up without notice you will forfeit any future vending opportunities with Texas Bear Round-Up
  • TBRU holds a charitable raffle and auctions each year. We invite and encourage our vendors to donate items to this cause. The vendor team and the raffle/auction team leaders will touch base with you on Thursday evening and Friday morning to receive any donations.  Thank you in advance for your generous donations.

Adult Items

Since the vendor market is open to the public, you must use good judgment when displaying products, playing videos, etc. (If you are selling/displaying sexual toys/insertables/devices, pornographic visuals, artwork containing nudity or sexual acts - the vendor market staff will assist you in proper placement). Please make sure you are abiding by the retail laws and public decency laws of Texas. The Vendor Team has the final say on the display of adult items.

Street Legal Attire

Booth staff can go shirtless or even in underwear. However, everyone must comply with Texas State law. Please remember to keep your genitals and butt covered at all times. A jockstrap or underwear that does not cover the anus/butt crack with a minimum one-inch wide (size proportionate) piece of material is not considered street-legal in Texas.

Access to Vendor Market

  • Wednesday evening Early Set-Up and receiving dock access begins at 3:00pm. (If hotel provides an early entrance we will send a notice out via email). Set-up time will be provided on Thursday beginning at 8:00am. 
  • On following days, vendors will have access 30 minutes prior to opening and 30 minutes after closing
  • The Vendor Market will not be accessible outside of the pre-opening and post-closing times.
  • The Vendor Market will be closed, locked, and secured by hotel security.
  • When the vendor market closes vendors have two options:
    1. Leave products in your booth with covers provided by the hotel or your own covers.
    2. Take your products with you.
  • Vendors should never leave monies, credit card information, technology devices and/or irreplaceable items in the vendor area while unattended.
  • All vendor space must be vacated by 2:00pm on Sunday, March 16, 2025.

Vendor Market Hours of Operation

  • Thursday, March 13, 2024:  12:00noon - 6:00pm
  • Friday, March 14, 2024: 11:00am - 6:00pm
  • Saturday, March 15, 2024: 11:00am - 4:30pm
  • Sunday, March 16, 2024: 9:30am - 12:00noon

Cancellation

Cancellations must be received either in writing via email prior to February 28, 2025. No refunds will be processed after February 28, 2025. Please refer to the refund policy at tbru.org/refundpolicy for complete details.

Hotel Rooms

When you register for your vendor market booth you will find a link on the confirmation page to make your hotel reservations. Vendors reserve rooms in the TBRU main block of rooms. Rooms go quickly. For 2025 we have contracted the entire hotel for Friday and Saturday nights - while this does add rooms to our block - rooms could still sell out. DO NOT WAIT to book your rooms. Hotel room costs are the sole responsibility of the vendor.

Acknowledgments

  • Vendors are solely responsible for the behavior and actions of their vendor representatives.
  • Vendors and Vendor Representatives are expected to uphold themselves to truthful and ethical business practices.
  • Vendors should have a policy for returns and exchanges.
  • Vendors and Vendor Representatives are expected to comply with the TBRU Code of Conduct.
  • TBRU / Dallas Bears may remove a vendor at any time, without refund, due to violations of the vendor market terms and conditions or for any actions or behaviors determined to be unethical, illegal, or actions that would jeopardize the organization as a whole.
  • TBRU/Dallas Bears are expected to treat everyone with respect and kindness. Vendors and their representatives are expected to also treat everyone with respect and kindness.
